Data Conversion and Scanning
There is a vast amount of information in individual NHS Trusts currently held on paper, including clinical records, with the associated problems of storage, updating, distribution and control. As part of the various national programmes, the NHS has a long-term strategy to replace cumbersome paper-based systems with electronic business systems.
Electronic scanning a proportion of this paper-based information can provide significant benefits including:
- Reduced requirement for storage space (both within the NHS and in external storage) with consequent savings in costs
- Streamlining the staff required to administer the file store
- Reduction of logistical issues and costs of ‘moving’ files around organisations (and third-party storage)
- Reduction in the cost of labour intensive, manual searches
- Elimination of lost or missing patient records
- Improved access times for clinical staff via a central electronic information repository
LSC Group’s in-depth experience of scanning and data conversion for public sector organisations and a sound understanding of the key information governance requirements in the NHS including:
- the Freedom of Information Act (FoI),
- NHS data standards and
- the NHS Information Governace Toolkit,
uniquely places us as the partner of choice for undertaking cost effective scanning and conversion of selected NHS paper records including patient records, clinical records and organisational information.
Recognising the large volumes of paper held within the NHS, our consultants can advise of the optimum solution based on effective retention and disposal schedules to minimise potential scanning costs.
Data conversion is undertaken in secure UK-based locations, or on clients’ premises to provide a cost effective and efficient service, whilst enabling paper records to be made available at short notice to meet urgent clinical needs.
We understand the NHS information coding standards, including SNOMED CT taxonomy and have experienced staff to capture metadata and apply taxonomies and categorisations to the converted data.
Our ICT solutions include a best of breed Electronic Document and Records Management (EDRM) to provide a solution for maximising the value from the converted paper files.
